Workflow automation for operations teams
Automate routine work, focus on what matters
We build
Flowtica helps operational teams in mid-sized companies eliminate manual busywork through custom AI assistants and automations. We integrate with the tools you already use, so your team saves hours, reduces errors, and speeds up processes without adding new platforms or disrupting your existing workflows.
Where Flowtica provides the most value
We work closely with lean teams that need dependable AI systems rather than experimental chatbots.
About Flowtica
Built for teams past the experimentation phase
Flowtica delivers dependable AI solutions for operations
Flowtica was created to close the gap between impressive AI demos and dependable systems that support day-to-day operations. We approach AI as part of your infrastructure: observable, maintainable, and integrated, rather than a stand-alone tool disconnected from your processes.
We work with teams that already experience the cost of manual workflows, scattered knowledge, and constant context switching. Together, we define achievable projects that deliver clear value and build on that foundation over time.
For teams evaluating where Flowtica fits first, start with the current solutions and supporting examples. That section shows the workflow lanes we are prioritizing right now and the detailed proof pages that sit behind them.

How we work
Phase 1
Discovery & workflow mapping
We begin by understanding how your team operates today, systems, constraints, and the edge cases that commonly break automation, so we can design a realistic solution.
Phase 2
Prototype in weeks, not months
We implement a focused AI assistant or workflow that plugs into your existing stack. Every prototype is tied to clear success metrics.
Phase 3
Harden & scale
Once value is demonstrated, we invest in monitoring, guardrails, fallbacks, and performance tuning so the solution behaves like dependable infrastructure.
Principles
Principle 1
Your data, your control
Data ownership remains with you. Wherever possible, we design deployments in your infrastructure or in controlled environments you administer.
Principle 2
Integrate with existing systems
We align with the tools you already rely on, CRMs, ticketing systems, data stores, rather than introducing unnecessary platforms.
Principle 3
Targeted projects, tangible results
We favour focused, high-impact initiatives instead of broad programs that are difficult to deliver and maintain.
Services
From intake to handoff
Flowtica focuses on production systems that remove manual work, fit your operating constraints, and connect cleanly into the tools your team already relies on.
AI Phone & Chat Assistants
Never miss a call or chat. Our AI receptionists answer common questions, capture lead details, and hand off to your team when a human touch is needed. Every inquiry is handled promptly, reducing missed opportunities and repetitive work for your staff.
Document Q&A for Legal & Operations
Instant answers, with citations. Employees can get accurate answers from contracts, policies, and manuals in seconds with an AI that cites its sources. This speeds up decision-making in legal, HR, and ops, while ensuring information is verified and trustworthy.
Workflow Automation & Integration
End repetitive copy-paste. We integrate AI into your CRM, helpdesk, or scheduling tools to automate routine data entry and cross-platform updates. The result is faster workflows and fewer human errors as information flows automatically to where it's needed.
Private & Hybrid Cloud Deployments
Your data stays private. We deploy AI solutions in your environment (your cloud or on-prem) so you retain full control over data and compliance. You get the benefits of AI while meeting strict security and regulatory requirements.
Prototyping & Feasibility
Prototype in weeks, not months. We quickly build a functional AI prototype (in just a few weeks) to prove out a use-case before you invest in a larger project. This low-risk trial lets you see real results and validate the impact of an AI solution early on.
Ongoing Support & Iteration
Always improving. After launch, we continuously monitor and refine your AI workflow as your needs evolve. Your system gets smarter and more reliable over time, instead of stagnating after deployment.
Solutions
Current workflow lanes
Three workflow lanes we are prioritizing for operations teams
Flowtica builds workflow automation that behaves like infrastructure: connected to your existing tools, reviewable by your team, and scoped around a specific operating bottleneck. These 3 landing pages show where we are focusing current buyer conversations and search traffic.
Maintenance intake automation for property managers
Turn maintenance intake into a controlled workflow instead of an inbox problem. Flowtica focuses on request capture, triage, dispatch, tenant updates, and escalation handling for property management teams.
- What gets automated: intake from email/forms, issue classification, vendor routing, tenant updates, status tracking, and escalation triggers.
- Where it helps: when coordinators are buried in follow-ups, requests age without clear ownership, and escalations start from simple intake gaps.
- What it supports: faster first response, fewer manual handoffs, and clearer visibility into open work orders.
Accounts payable and back-office automation
Reduce repetitive AP work by structuring invoice intake, approval routing, exception handling, and accounting handoffs around a reviewable workflow.
- What gets automated: invoice capture, field extraction, approval routing, exception queues, posting/export preparation, and audit-friendly status tracking.
- Where it helps: when teams are re-keying invoices, chasing approvals across inboxes, and losing time to preventable exceptions.
- What it supports: fewer manual touches, cleaner month-end handoffs, and better visibility into what is pending and why.
CASL-first outreach automation with reviewable research
Structure prospect research and draft preparation around public-source evidence capture and human review, so outreach work stays controlled before anything leaves your team.
- What gets automated: research intake, public-source note capture, evidence packaging, draft generation, and review-state tracking.
- Where it helps: when outbound work is fragmented across tabs, notes, and drafts without a clear review process.
- What it supports: cleaner handoffs to founders or RevOps, consistent evidence capture, and clearer process boundaries before outreach decisions are made.

Offers
Structured ways to start
Flowtica offers workflow automation programs that start with a low-risk assessment and MVP, then scale into full production delivery. Ship quickly, measure impact, and keep improving what’s live.
We work best with partners who can move quickly and provide feedback. For hands-on delivery, we work with a small number of partners at a time.
Free Workflow Assessment & 2-Week MVP Build
Kickstart your AI project with no long-term commitment. We begin with a free assessment of one of your workflows to identify a high-impact automation opportunity. Then, in just 2 weeks, we build a functional AI MVP tailored to that use case so you can see real results fast.
After the assessment, you’ll receive a one-page workflow plan: scope, systems involved, success metric, and an MVP build outline.
Validate value quickly and decide, with evidence, whether to expand into full production.
What you get in the MVP:
- A working workflow in your environment, not a slide deck.
- Integrated with 1 to 2 systems, for example email plus helpdesk or CRM.
- Basic logging and error handling.
- A short handoff doc covering how it works, how to operate it, and next improvements.
6-Month AI Workflow Program
Scale up your AI solution with a full-production engagement. After a successful MVP, this 6-month program fully implements and maintains an AI workflow in production. We take end-to-end ownership of one critical process: design, build, launch, and ongoing optimization, to ensure long-term success.
Minimum $6,000 CAD / month 6-month minimum dedicated delivery
One production workflow live in weeks, then improved month over month. Built for reliability, not a demo.
- Design + integrate: map the process and connect to your existing tools, including real edge cases.
- Launch in weeks: ship a first production version early, then iterate based on real usage.
- Operate + improve: monitoring, logging, retries, alerting, plus regular reviews tied to agreed metrics such as hours saved, cycle time, SLA, and error rate.
How we keep delivery predictable:
- One workflow at a time.
- Clear system boundaries.
- Changes handled through defined next steps.
Best suited for teams with one painful, mission-critical process that must work reliably in day-to-day operations.
Apply for the 6-Month ProgramCustom Scope (By request)
If your needs are unusual, we can design a tailored engagement. This is typically used when the workflow touches multiple teams, requires procurement/security reviews, or needs a different contract structure.
Custom pricing scoped after a short call
- Focused pilots to validate feasibility before a larger rollout.
- Multi-workflow roadmaps, sequenced to avoid unnecessary complexity.
- Security or compliance reviews aligned with your internal process.
- Clear scope, timeline, and success criteria agreed up front.
Share your workflow, tools, and constraints, and we’ll recommend the smallest sensible engagement that can prove value and keep future options open.
